Job Description
Work to be performed:
The following reflects the principal duties and shall not be construed as a detailed description of all work requirements, nor does it imply that all workers in this category perform all of these functions.
1. Place/amend purchase orders as required.
2. Determine quantities/dates for materials to be purchased to ERP requirement.
3. Prepare/forward vendor RFQs for material, product, processing.
4. Determine suitable vendors with customer specification approval.
5. May interview sales representatives, follow-up vendor contacts and occasional visits to same.
6. May negotiate or approve price changes and analyze purchases to recommend improvement, availability and price of materials to Manager.
7. Adjust claims for vendor and/or carrier.
8. May follow market trends and report on market commodities in order to detect early development of lead time.
9. Maintain liaison with vendors and other related departments.
10. Expedite deliveries to assure costs and delivery targets are achieved.
11. Ensure that vendors respond to schedule demands to avoid in-house production line delays or stoppages.
12. Collect and prepare information for reports.
13. Assist the work of other personnel in the materials, purchasing or production control areas.
14. Issue/amend Goods Received reports.
15. Maintain department filing systems.
16. Monitor shop orders held for material and issue to stores upon receipt of material; also determine shop orders to be split.
17. Prepare Returned Material Orders.
18. Action Vendor Rejection Reports.
19. Monitor/expedite/reschedule PO dates per ERP reports.
20. Initiate/maintain subcontract reports.
21. Create/amend item masters.
22. Arrange inbound shipments of procured goods when necessary, including freight estimates.
23. May perform other related duties as required by the company
Responsibility Involved:
Works with general guidance and direction but operator works independently the majority of the time; references a supervisor only when problems involve change; establishes own method of performing duties in accordance with pre-determined requirements and goals; may be responsible for workers.
The employee is responsible for working safely, by following legislated safety standards and the safe work practices and procedures that the Company has in place. In addition the employee will make every effort to ensure that his/her workplace is safe by notifying management of, and making suggestions regarding, areas that need improvement.
Effort:
Mental effort is of moderate intensity, requiring more than 2 hours per day of concentration, attentiveness, and analytical thinking. Tasks include reviewing and verifying purchase orders, analyzing market trends, negotiating with vendors, and ensuring compliance with procurement policies. The role demands attention to detail and frequent decision-making.
Physical effort is of low intensity, predominantly sedentary, with more than 2 hours per day spent on tasks such as keyboarding, sitting, and using office equipment. Occasional activities may include walking through the warehouse, inspecting materials, and potentially lifting light objects. The role may require fine motor skills for tasks like data entry and document management.
Job Working Conditions:
Involves a busy working environment with frequent contacts throughout the day; psychological environment is such that it may involve periods of extreme mental duress in working through assignments; office environment; sedentary working environment and computer utilization.
Skills needed: Able to issue daily tasks to workers after having received instruction from supervisor; motivate self and others; multi task; able to follow instructions; work within time constraints; take responsibility for own actions and duties.
Education / Experience:
§ Equivalent 4 years high school
plus
§ 5 or more years experience in related or similar environment
§ Membership with PMAC or CAPIC credits would be an asset.
Qualification Assessment:
Informal ongoing observation/assessment of work performance provides continuing evidence of capabilities and proficiencies.
