Job Description


An educational organization is looking for an experienced Office Administrator to join their team. There will be a 3 month trial but they are looking for permanent, long-term candidate.

Job Responsibilities:

  • Office Operations:?Manage the daily flow of office operations - Coordinating, scheduling meetings, and managing appointments. Coordinating calendars. Coordinate calendars making travel arrangements, meeting prep, and follow-ups. Support small-scale project coordination, ensuring deadlines are met and details are not overlooked. Monitoring emails. Organizing filing system.
  • Administrative Support:?Handling incoming calls/emails, preparing documents and maintaining filing systems. Prepare and format documents, reports, and presentations for internal and external use. Handle incoming calls, emails, and correspondence with professionalism and discretion. Ordering supplies and duties as assigned.
  • Facility Management:?Maintaining office equipment, coordinating repairs, and managing inventory for office supplies.
  • Bookkeeping:?Perform bookkeeping using QuickBooks to record all financial transactions including tasks such as recording deposits/EFT, recording expenses under appropriate accounts, paying bills, preparing cheques, monthly reconciliations of bank/Visa, ensure all documentation scanned and uploaded to QB. Must under basic accounting principles needed to properly administer financial tasks. Plooto experience would be an asset
  • Data Management:?Maintain organized digital and physical filing systems for quick and easy access to information. Updating and managing databases, and performing data entry. Tracking – Staff Reps, Member Contacts, PD Approval and Reimbursements, iMIS.
  • Coordination:?Organizing travel arrangements and coordinating office events. (Rep Meeting, Member Socials, AGM, Executive Meetings)
  • Communication:?Acting as the main point of contact for member and visitors.?


Required Skills and Qualifications:

  • Communication:?Strong verbal and written skills.
  • Technology:?Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel) and office software.
  • Organization:?Excellent time-management and ability to prioritize tasks.
  • Ability to pass a criminal and credit check
  • Minimum 5 years of Administration experience
  • Post-secondary Education


Other:

  • 10 month per year (Beginning of September to end of June)
  • Employee eligible for EI for summer
  • After 3 months, benefits (personal/family)
  • RRSP (to be discussed)


Shifts: Mondays to Fridays 8am to 4pm. I hour unpaid lunch break. 35 hours a week.

Wage: $30/hr

Start: End of August/Beginning of September
